Brief Job Descriptions (average hours include the monthly board meeting and event)
President - Coordinates and oversees all activities of the OSC. Presides over all regular and special board meetings, Executive Board Meetings, and General Membership Meetings. Average hours/month: 20-30 Parliamentarian - The Parliamentarian advises the OSC on proper parliamentary procedures in accordance with the Constitution, Bylaws, and Robert’s Rules of Order and acts as the liaison between the OSC and the base private organization office. Every other year they help with the rewriting and editing of the bi-laws and bringing them before legal. The Parliamentarian is a non-voting member appointed by the President. Average hours/month: 4 1st Vice President - Supervises the welfare-oriented committees assigned to him/her by the president, performs the duties of the President in his/her absence, and assumes the office of President should the elected President become unable to complete the term of office. Keeps the President informed on all aspects of the OSC chairmanships. Performs the duties of the Parliamentarian in his/her absence. Average hours/month: 6 2nd Vice President - Supervises the socially oriented committees assigned by the President. Acts as custodian of all OSC properties and assumes the duties of the 1st VP in his/her absence. Keeps the President informed on all aspects of the OSC chairmanships. Average hours/month: 5 Secretary- Records, reads, posts, and distributes the minutes of the OSC Executive Board meetings, the OSC regular membership meetings (monthly functions), and any special meetings called by the OSC president. Also gets the mail and sets up board meetings. Average hours/month: 10 Welfare Chair/Treasurer - Receives all welfare requests, researches new requests, and presents requests with history of past donations at each Executive Board Meeting. Receives and distributes all welfare funds belonging to OSC. Balances the Welfare fund account on a monthly basis and prepares a monthly financial statement. Acts as a chair of the Welfare Budget committee and is on the Auction Welfare committee. Acts as Administrative Treasurer in his/her absence. Average hours/month: 10 Admin Treasurer - Keeps an accurate account of all membership dues, received receipts and expenditures, balances the Administrative fund account on a monthly basis, and prepares a monthly financial statement. Acts as a chair of the Administrative Budget committee and is on the Auction Welfare committee. Acts as Welfare Treasurer in his/her absence. Average hours/month: 6 Thrift Shop Chair - Attends all executive board meetings and votes on behalf of the thrift shop volunteers. Assist Thrift Shop Manager and Assistant Manager with any customer problems (if asked). Volunteer weekly and provide board with updates on store management, customer relations, and cleanliness. Average hours/month: 20 Thrift Shop Treasurer - Keeps an accurate account of all Thrift Shop income, receives receipts and expenditures, balances the Thrift Shop fund account on a monthly basis, and prepares a monthly financial statement. Acts as a chair of the Thrift Shop committee and is on generally on the Auction Welfare committee. Average hours/month: 4 Auction Chair - This position is responsible for organizing donations, setting up and staffing committees to help plan the scholarship auction held by OSC. It is very busy for about three months’ preceding the auction and steady to slow the rest of the year. This position can also have a Co-Chair. Average hours/month: During busy months Dec-March, 25-30, the rest of the year 2 Scholarship Chair - The Scholarship chair edits the scholarship application, as needed. Distributes information about how to apply. They receive all applications and organize a lunch for them to be judged to determine scholarship amounts. Finally, they organize the scholarship banquet in April for the scholarships to be awarded to the recipients. It is busy for about three months’ preceding the Scholarship Banquet and steady to slow the rest of the year. Average hours/month: During busy months 6-10, the rest of the year 2 Ways and means - This position is responsible for fundraising for the administrative budget. Usually this is done with a monthly raffle at events and ornament sales in December. Average hours/month: 5 Publicity- Publicity keeps the OSC website up to date along with managing the Facebook and Instagram pages. They advertise for upcoming events/sales and all about OSC on the public platforms. Creates flyers for special activities and/or OSC special clubs, if requested. Take (or arrange for photos to be taken) and collect photos from OSC social events and special clubs and post to page. Create a board year photobook for the OSC president and honorary members. Average hours/month: 10 Social/Special Activities - Coordinates the membership events, with the exception of the Auction and Scholarship events. Set up the special activities’ flyers and sign ups at kickoff event, and keep in contact with POC’s for each group. Average hours/month: 8 Childcare Chair - Coordinates childcare for all board meetings and monthly events, excluding the scholarship auction. Average hours/month: 4 Membership Chair - Responsible for the maintaining and updating the OSC membership roster and tracking membership dues. They are in charge of coordinating welcome packets and gifts for new and returning members at the beginning of the board year. Then in January they do a half-year membership drive at reduced dues. Average hours/month: July and August are busy months: 10, rest of the year 5 *Committees/Other Positions: Each Chairman may appoint an assistant (or more than one with President's approval) to help them in their duties so the tasks are not as much of a burden on any one person. ___________________________________________________________________________________________________________ There are many benefits of serving on the OSC board which go above and beyond the joys of general OSC membership. You get a say in where the money goes You are directly involved in the selection/distribution of welfare payments to our military community each month at our board meetings. If voted to give a large sums of money to fill a request, the vote will be brought to general membership as well. For those who want to be apart of real, positive change and see first hand the blessings we give away, this is a huge bonus!
Free childcare At all monthly board meetings, childcare is provided in the same building as the meeting. This relives the burden for mothers who have young children at home but still want to be apart of the OSC Board.
Monthly meetings are short and sweet We meet in the beginning of the month in the AM for 1 hour. These are not formal meetings like many assume, they have a family feel. We laugh, we hug, we enjoy each others company; all the while going through the proceedings of caring for our club and giving away money to create positive change to our community.
Making lasting friendships The board is made up of officer spouses from all over the base and in many different squadrons. Our passion for our community bonds us together and allows us to create lasting relationships with each other. For those looking for a tight knit community, this is a hug bonus!
Resume Builder Holding a board position is a great way to help build and maintain your professional resume. All our volunteer hours are added together, converted to a monetary amount, and then presented to Mountain Home Air Force Base at the end of each year. Personal hours put in by each member can be accumulate into strong bullet points on professional resumes and show time well spent between jobs. Several of our board positions can add desirable skill sets to a resumes such as; team leadership, philanthropic ventures, accounting, web-design, marketing, research, event planning, etc. For those who are looking to keep up a resume during a season without an occupation, this is a big bonus of being on the board!
